Automated recurring operations for service businesses and property managers
The Problem
Service businesses and property management companies share the same hidden tax: recurring operational work that eats hours but doesn't move the business forward. Monthly owner reports compiled manually from property management platforms. Lead discovery done by staff scrolling job boards. Task creation in project management tools replicated from service templates. Competitor content monitored by hand.
None of these tasks require human judgment. They require a system that knows where to look, what to extract, and how to format the output. But building custom integrations for every workflow is expensive, and the off-the-shelf tools (Zapier, basic automation platforms) hit ceilings on logic complexity fast.
The gap is workflows that need real conditional logic, data transformation, and AI-powered decisions, without a full engineering build.
The Approach
I built a portfolio of workflows across n8n and Make for different operational needs.
For property managers using Appfolio, monthly owner reports were pulled from the API, formatted with property-specific branding, and delivered via email on a schedule. What took a property manager 4 hours at month-end now runs automatically overnight.
For service businesses, I built an Upwork lead discovery pipeline: Apify scrapes job listings matching defined criteria, Claude generates tailored proposal drafts, results land in Google Sheets for review. This replaced the old RSS-based approach when Upwork deprecated those feeds.
For a creator client, I built competitor content monitoring that pulls trending posts weekly, analyzes them with Claude for thematic patterns, and suggests content angles the creator hadn't covered. Music suggestions for clients reference their listening history and generate new recommendations via Claude.
Task creation in SmartSuite automatically generates work breakdowns when a project service is assigned, pulling from predefined templates and customizing based on project parameters.
Each workflow is documented, version-controlled, and monitored. When something breaks, the system surfaces the failure with context instead of silently dying.
